Navigating the Entity Library

The Entity Library, found on the home page of the Documents section, provides access to documents uploaded by various entities. Use this guide to explore and manage those files efficiently.

1. Division Filter

  • If you have multiple divisions set up on your profile, by default, the Entity Library shows documents for all divisions. Use this filter to display documents for specific divisions you have access to.

2. Column Overview

  • Entity Info: Displays the entity's name and reference code.

  • Document Name: Click on a document name to open and view the document.

  • Expiration Date: Color-coded for easy reference:
    • Green: Valid
    • Orange: Expiring within 30 days
    • Red: Expired

  • Update Requests: Shows if an update request was sent, who sent it, and the recipient (as shown in yellow).

3. Actions Button

  • Each document has an Actions button for additional options, including Edit, Request New Version, Replace, Download, View, History, and Delete.

4. Filter and Search Options

  • Quickly locate specific documents by applying filters on document type or status, such as viewing only Expired documents.

The Entity Library layout provides easy access to document information, filters, and essential actions, helping you manage entity documents efficiently.
